General
Secure Connection - All data is sent via a secure connection using HTTPS using a 2048-bit Private Key and 256-bit Secure Sockets Layer encryption.
Mobile - Mobile companion software can be run on your mobile phone or tablet so you are always connected.
Tenants
Tenant - We don't have a business without tenants. One property can have multiple tenants at the same time e.g.
different rooms. The tenant details screen includes the tenancy start and end dates, inspection frequency, Rent review date, contact details,
notes etc.
Contacts - Each tenant can have multiple contacts e.g. the husband and wife. Each can have their own contact details such as email address and mobile phone number etc.
Rent Changes - Rent changes can be preloaded and affect the total balance due from that date onwards until the next rent change.
Extra Charges - Extra Charges is a way of charging the tenant
additional rent for various reasons. You may have some garden maintenance or
council charges or insurance which you wish the tenant to pay for. This is then
adding to the total rent the tenant owes.
Attachments - Additional files such as tenancy agreements or photos can be added to a tenant for online document storage.
Rent Status - Knowing the balance due for a tenant and their payment history is vital. RentHQ puts all this information on the tenant details screen for easy referral.
Mail Merge - Generating letters to your tenants and property owners is easy with the inbuilt mail merge facility.
Inspections - Full inspection scheduling and results recording facility. Very flexible check list creation tools.
Transactions
Cashbook - The cashbook screen displays a full list of
transactions listed in date order. This output is a close match to the
display of your bank statements. You can have multiple bank accounts with
separate list screens for each.
Manual Transactions - Transactions can be entered one at a time
via the cashbook screen. These screens include details
such as date, amount, property, transaction type etc.
Automatic Transactions - We often have transactions which occur
regularly and are the same each time apart from a different date. An
example is a tenant who pays us $200 rent each Monday. These types of
transactions can be pre-loaded and applied semi-automatically, saving us time
and errors.
Statement Import - The bank statement import function allows
you to import an electronic file copy of your bank statement. This saves time
and typing errors. This is the fastest way to enter your transactions to leave
more time to do other important things.
Import Xero.com Transactions - RentHQ integrates with the
online accounting software Xero, which means transactions entered or imported into
Xero, and be downloaded directly into RentHQ.
Automatic Bank Feeds - RentHQ can automatically imports bank
transactions from Xero into your cashbook.
Bank Reconciliation - After all the transactions have been
entered via various means, the Bank Reconciliation function can be used to
compare the final closing balance on the bank statement with the transaction
which we have entered. This is a good auditing facility to ensure we have
good transaction integrity.
Receipt Printing - Optionally, when a manual income entry is
entered, a receipt for that income can be printed. The receipt design is
customisable.
Properties
Properties - Properties are the hub of our rental
business. Properties represent the building or apartment or house which
we are renting out. Maintain a list of property details including
address, the property owner's name, number of bedrooms, notes, attachments etc
Work Orders - Work Orders are property repair requests. They
include details of what needs to be done, where and when, as well as a list of
quotes from contractors. This function tracks the job from the original problem
reporting through to job completion and payment.
Contractors - When we need a job done fast, it is always
good to have a list of contractors who we have used previously and trust.
Mileage Log
- In some countries the mileage we travel in our cars is tax deductible.
The mileage log screen allows you to record the distance travelled, when and
why.
Marketing
- A free online web page displaying all your vacant properties on a map, which
you can add to your own web site. This includes property photos, descriptions and
online applications
Property Owners/Landlords
Owner - The owner is the person or group of people who own the
properties we are managing. Each owner contains details such as name, address,
contact details, notes and the default management fee percent.
Disbursements - An automatic disbursement function can be used
to calculate the management fee and the amount to be paid back to the property
owner. No need to calculate it yourself.
Extra Fees - Sometimes we want to charge the owner an additional
fee on top of the usual management fee. This can be done with the Extra Fees facility. This amount
is automatically deducted from the next disbursement amount.
Information
Dashboard - The dashboard screen shows the status of your activities
at a glance. It includes notifications such as rent overdue or vacant properties or leases that
need renewing etc.
Graphs - A collection of graphs shows a quick summary at a
glance.
Reports - RentHQ contains over 45 reports, including Profit
and Loss, Tenant Statements, Owner Statements, Balance Sheets and lots more.
Extra Functions
Database Backup - In today's modern age, information is everything. So
losing it is like losing everything. So a database backup and restore facility is provided.
Send TXT/SMS Messages - You can send messages directly from within RentHQ and record the message for later reference.
Online Tenant Applications - Prospective tenants can fill in an online application form to apply to rent one of your properties.
